Title: Executive Assistant
Pay Range: Open – Negotiable
This position provides professional and administrative support to the Managing Director, Ship Systems and other staff as necessary.
Essential Duties and Responsibilities:
Acts as gatekeeper to the Sr VP, General Manager handling telephone calls, visitors, calendars, meeting requests and related matters.
Arranges travel plans and itineraries, compiles documents for travel-related meetings to those he/she supports.
Composes and prepares confidential correspondence, reports, and other documents.
Prepares records such as agenda, notices, minutes, and other pertinent data for corporate meetings and other company meetings and events.
To collect/report and research Production related metrics.
Coordinate meetings with team – Prepares records such as agenda, notices, minutes, and other pertinent data for corporate meetings and other company meetings and events.
Track Action Items assigned to my team an ensure timely responses.
Assist in tracking and reporting overhead expenses.
Assist with any major proposals that arise with existing and new work.
Oversee Marinette office as a focal point for our employees.
Coordinate regular staff meetings and agenda.
Manage office visits of outside vendors, suppliers, etc.
Serves as the liaison between the executive office, employees, and the public.
Assists with maintenance of records and related accounting tasks.
Carries out duties with minimal supervision.

Education and/or Experience:
Associate’s Degree (A.A) or equivalent and five years of secretarial experience and/or training; or equivalent combinations of education and experience.
Advanced working knowledge of Microsoft Office applications and telephone protocol.
Superior interpersonal, verbal and written communication skills.
Strong organizational skills, including the ability to prioritize, multi-task and problem-solve.
Strong attention to detail and the ability to use discretion with confidential information.
Basic reading, writing and arithmetic skills.
Ability to work independently and meet project timelines.
